Privacy Policy

This policy explains how PitchHalo, based in the United States, handles information about account holders, artists, team members, and visitors to pages hosted on our service. Contact legal@pitchhalo.com with privacy questions or requests.
Information we process
- Account information: your name, email address, securely hashed password, sign-in sessions, account plan, and organization memberships.
- Content and settings: artist profiles, artwork, banners, release metadata, platform URLs, domains, page designs, and access assignments.
- Feature activity: playlist selections, song questionnaire answers, pitch notes and history, and AI design requests, page context, and rendered screenshots used to make requested changes.
- Visitor information: with optional analytics enabled, page visits and platform clicks, referring URLs, device and browser information, approximate country when supplied by hosting infrastructure, and a short-lived visitor identifier.
- Operational information: network requests, IP addresses processed by hosting and security systems, error information, and communications you send us.
Why we use information
We use information to provide accounts and pages, maintain access controls, perform requested pre-save and design functions, match songs to playlists, support users, protect the service, and comply with applicable obligations. Optional visitor analytics help artists and organizations understand traffic to their pages.
Where laws require a legal basis, we rely on providing the service you request, legitimate interests such as security and support, legal obligations, and consent where required for optional analytics or another optional use. You can decline analytics without losing access to the site.
Who can receive information
Public page content is visible to visitors. Authorized users in your organization and parent organizations may access and manage content within their permissions. Artists and their authorized teams can view analytics about their pages.
We use providers for hosting, database storage, network security, music metadata, pre-save processing, and AI design. Those providers receive the information needed for the relevant feature. When you use the design agent, its AI provider receives the submitted instructions, relevant conversation and design context, and page screenshots. Do not include sensitive information that is unnecessary for the design.
When live pitching is enabled, your artist and song details, contact email, pitch message, and relevant genre or mood selections may be sent to the selected curators and an automatically included curator network. Test or mock pitches are stored as test records and are not delivered. We may also disclose information when required by law or necessary to protect rights and security.
We do not currently use advertising cookies or sell personal information for money. External websites and streaming platforms handle information under their own policies.
Streaming account connections
If you pre-save a release, a streaming service and our pre-save provider process your authorization and the information needed to perform the save. PitchHalo does not ask for your streaming-service password. Review the permissions presented during authorization; you can manage or revoke a connection using the relevant service’s settings.
Cookies and choices
Essential cookies support sign-in and remember cookie choices. Optional analytics are off until you accept them. Use Cookie settings to reject analytics or withdraw consent at any time. Retention and deletion
We keep account and content records while needed to provide and administer the service. Some information may be retained after deletion requests where needed for security, legal obligations, resolving disputes, or protecting the service against repeated abuse. Retention depends on the information’s purpose, account status, and applicable obligations; operational backups and third-party records may follow separate retention cycles.
Cookie lifetimes are listed in our Cookie Policy. Deleting a public link removes its associated analytics from the active application. Pitch history is retained to enforce submission limits and prevent duplicate pitches. Contact us for account deletion or information about a particular record.
Your privacy rights
Depending on your location, you may have rights to access, correct, delete, or obtain a copy of personal information, limit or object to processing, or appeal a decision about a privacy request. You may withdraw consent without affecting processing that occurred before withdrawal. Send requests to legal@pitchhalo.com; we may need to verify your identity and authority before acting. We will respond as required by applicable law.
You may also have the right to complain to a privacy regulator. We do not penalize users for exercising applicable privacy rights. Organization-managed content may require coordination with that organization.
International processing and security
PitchHalo is based in the United States. Information may be processed in the United States and other countries where infrastructure or service providers operate. Where legally required, cross-border processing must have appropriate safeguards. Contact us for information about arrangements relevant to your data.
We use measures such as password hashing and access controls to protect information. No online service can guarantee absolute security. Please protect your credentials and notify us of suspected unauthorized access.
Children and updates
PitchHalo is not directed to children under 13. Contact us if you believe a child has provided personal information so we can investigate and address it. We may update this policy and will provide appropriate notice of material changes.
